ERP for Game club
Execute a complete digital transformation (Offline ⇢ Online). I designed a comprehensive ERP system to replace manual management and accounting chaos with transparent digital workflows. This solved critical business pain points: financial "blind spots," equipment idle time, and the constant desync between app-based bookings and real-world availability
Context
Expectations 🔎
I was expected to fully immerse myself in operations: the business wanted me to design the system architecture from scratch, untangling the chaotic processes of offline clubs, rather than just "drawing a UI
Responsibility 🎯
Full ownership of Product Design (UX/UI) for the entire B2E system. My sphere of influence included final decision-making on the admin panel's logic and its visual identity
Communication 🤝
Worked closely with the CTO and Product Manager. We jointly navigated complex technical constraints of the ERP system to find the perfect balance between ideal UX and backend capabilities
Actions
Service Blueprint 🧩
Utilized a Service Blueprint as the core tool to synchronize scenarios across three touchpoints: Mobile App (Client), ERP (Admin), and PC Shell (Gamer)
User Flow 🔄
Mapped out detailed User Flows for the floor administrator, covering everything from shift opening and cash operations to conflict resolution and end-of-day reporting
Impact
Penalty System 🛡️
Implemented a moderation module for "Problematic Visitors." This allowed for client segmentation and rating systems, protecting the club's equipment from vandals while securing the LTV of the core audience
Synchronization 🔗
Achieved a "single organism" effect: any client action in the app (booking) or at the PC (starting a session) is instantly reflected on the administrator's dashboard in the ERP
Purchase 🛒
Designed an "order from your seat" system. Players order snacks and drinks directly via the PC interface; the admin receives an alert in the ERP and simply delivers the order.
Configuration ⚙️
Developed a flexible club configurator that allows owners to independently set up zones, hardware counts, and complex tariff grids without any developer intervention.
